AnnounceManager Applications

For the provision of structured telephone information services

To set up a successful telephone information service, either as a stand-alone system or to accompany other call processing, the information must be easy to access by the caller and easy to update when it changes.

The UltraVox AnnounceManager module gives you a suite of tools to set up recorded telephone information services. Information can be accessed as an option to speaking to a live operator, as a caller waits in a queue or through dialling a specific number.

The AnnounceManager supports information access through simple tone menus, by reference number, by selection from a flexible list or by a combination of all of these methods. The caller may use their telephone keypad to make choices, or services may be designed to give them the option of speaking to choose which information to hear. Multiple supervisors may control the recorded information so responsibility for update can be divided, for example according to a regional breakdown.

Tone Menus

Tone Menus are the basic building block of the UltraVox structure, typically allowing a caller to select a further menu or information message by a single key press. 'Press 1 for jobs in sales, 2 for jobs in Marketing, 3 for jobs in engineering'. The reporting options on the AnnounceManager allow you to determine which options callers are selecting. Knowing which information is most popular allows you to tune your service design appropriately.

Positive Voice Menus

You can allow callers without tone dialling telephones to make information selections by using their voice, for example 'If you wish to hear our opening hours, please say 'yes' after the tone'. The UltraVox uses Digital Signal Processing techniques for distinguishing between the human voice and background noise.

Lookup Menus

The AnnounceManager can assign messages to lookup codes that correspond to the required information, for example a product code, flight number or share code. The caller can rapidly access the data or be informed if they enter an incorrect code.

Information Chains

Information Chains is a powerful tool for structuring information that changes regularly, for example Job lines, Cinema Showings or Seat Availability. An Information Chain is a list of items which can be altered by a supervisor without the need to change the structure of the AnnounceManager service. Items can be added to or removed from the list, or information recordings for existing items can be changed. An AnnounceManager service can contain many different information chains, each applying to a different category of information.

For example, the caller could select 'Jobs in the North of England' and then 'Jobs in Sales' and then hear a list of jobs, each with its own reference number. If a job of interest is within the list, the caller can type in the reference number and hear the full details. They may even be put through to an appropriate extension with the DodgeBox module. Each Information Chain may be administered by a supervisor with responsibility for that particular area.

Security

The UltraVox AnnounceManager has a sophisticated security mechanism. This can be used to control access to sensitive information on a 'Members Only' basis. Passwords can be assigned to individuals or groups of users.

Configuration

Configuring the call flow of the AnnounceManager module to exactly match your needs is normally done in close collaboration with a Storacall consultant who will determine which of the structural tools is most appropriate for your service.
